Title: Project Controls Admin/Technician
Location: Abu Dhabi, UAE
Contract: 3-4 Months (Fixed)
Description: - The Administration / Technician Assistant is responsible for providing administrative and technician support to Project Controls as part of the Office & Administrative Services team. Proficient in MS Office Automation tools and capable of providing technician support as required.
Job duties: - Reviews incoming communications, work orders, and service requests for subject matter content and routes them to appropriate supervisor’s attention. Composes routine correspondence in response to requests for department services; answers inquiries from other departments, area offices, or outside entities.
- Monitors all follow-up actions required by supervisor/manager.
- Extracts data from reference material, either semi-technical or non-technical in scope. Compiles, analyzes, and prepares or helps prepare information for studies or reports, such as organization planning, charts, graphs, and work load forecasts.
- Organizes material for meetings, presentations, and training sessions. Coordinates update of office Project Controls wall charts. May operate a variety of audiovisual equipment in the presentation of programs, orientation, and conferences.
- Assembles, copies, and distributes documentation packages; prepares records for document control and/or archiving.
- Assists in monitoring budget or financial information, such as comparing past costs with future costs, auditing invoices, and review and distribution of weekly and monthly reports.
- Reviews deliverables of assigned staff and monitors quality to ensure that all documents conform to established standards and procedures.
- Prepares and updates routing forms, labels, requisitions; organization charts, contact lists, vacation schedules, types and proofreads standard correspondence.
- Maintains files of various historical data; assist in tracking status of Historical close-out report.
- May assist in loading or filing of cost data; i.e. Trends and Back charges into cost database: Ecosys
- Processes incoming and outgoing transmittals, and correspondence (both hard copy and electronic).
- Maintains standard office supplies and standard forms.
- Performs other duties as assigned by supervisor.
Knowledge, skills and experience: - Excellent English written and oral communication skills
- Good organizational skills
- Knowledge of technical vocabularies and terminology common to the assignment
- Demonstrated knowledge of administrative functions
- Good knowledge of software applications (MS Office), Word document formatting and editing, creating simple spreadsheets with basic mathematical functions, and enhancing Power Point presentation reports.
- Minimum of 3-5 years of relevant office and administrative services experience. Experience on large construction projects is desirable.
