Job Summary As a Scheduling Supervisor for our , you will be responsible for providing services to patients and referring professionals by answering phones, managing faxes and scheduling appointments. In addition, you will take ownership of training, process improvement and/or quality assurance as assigned. You will also ensure the team is delivering the highest level of service. In this role you will supervise a team of 10-12 Scheduling Specialists, and will need to spend time travelling to our Indianapolis area centers to supervise the team. You will receive mileage reimbursement for the travel.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Fosters an environment where customer service is a priority by believing in and practicing The Experience
(50%) Scheduling
- Answers phones and handles calls in a professional and timely manner
- Maintains positive interactions at all times with patients, referring offices and staff
- Schedules patient examinations according to existing company policy
- Ensures all appropriate personal, financial and insurance information is obtained and recorded accurately
- Ensures all patient data is entered into information systems completely and accurately
- Ensures patients are advised of financial responsibilities, appropriate clothing, preparation kits, transportation and/or eating prior to appointment
- Communicates to technologists any scheduling changes in order to ensure highest patient satisfaction
- Maintains an up-to-date and accurate database on all current and potential referring physicians
- Handles overflow calls for other centers within market to ensure uninterrupted exam scheduling for referring offices
- Provides back up coverage for front office staff as requested by supervisor (i.e., rest breaks, vacations and sick leave)
- Fields 1-800 number calls and routes to appropriate department or associate (St. Louis Park only)
(35%) Team Management
- Supports associates ensuring highest level of patient satisfaction
- Ensures comprehensive knowledge of the company's policies and procedures for all associates
- Establishes associate schedules to provide for planned time off, ensuring appropriate staffing levels and adequate center coverage
- Monitors and approves timecards
- Participates in staff planning and hiring process along with management
- Initiates and participates in associate performance evaluations, compensation and development of associates including performance improvement plans, disciplinary actions and/or terminations
- Leads regular staff meetings and associate one-on-ones
- Develops and monitors the teams' performance through QA process
- Implements training program for new associates
- Fosters a team environment, ensuring appropriate communication between departments
- Maintains and updates scheduling procedure and training manuals
(10%) Insurance
- Pre-certifies all exams with patient's insurance company as required
- Verifies insurance for same day add-ons
- Uses knowledge of insurance carriers (example Medicare) and procedures that require waivers to obtain authorization if needed prior to appointment
(5%) Performs other duties as assigned

Requirements Required: - High school diploma or equivalent
- Working knowledge of Microsoft Office
- Proficient with using computer systems and typing
- Must be able to handle multi-level phone system with a high volume of calls at one time
- 4+ years of medical scheduling and customer service experience with demonstrated ability to train others and recognize and implement process improvements
- Prior supervisory or leadership experience in an office environment
- Some travel between our Indianapolis centers is required
Preferred: - Associate's degree
