Description: Introduction: IRL Flooring is seeking a professional in Accounting and Administration. The ideal candidate must be from the construction or fit out industry and have an understanding of the current marketing conditions within these areas. Experience in sourcing products from the market and internationally will be an advantage but not essential. The roll will be focused on accounting, with a portion of it for office administration and assisting the sales team with quotes and tenders. The ideal candidate must be organized and able to multi task between the different job functions.
Requirements and Duties:
Accounting:
- Administer proper coding and manage invoices and document all processes and systems.
- Monitor all account payable tasks including creating cheques, and prepare updates on all accounts.
- Maintain files on all account receivables including raising invoices and update records as required.
- Manage monthly journals, update entries and maintain sub ledger for fixed assets.
- Perform research, reconcile all bank accounts and resolves all issues in processes.
- Prepare reports of payrolls on monthly and fortnightly basis.
- Work aside the HR team and inform employees of insurance programs and employee benefits.
- Ensure efficient client services and provide support to administration staff.
- Maintain all files and invoices and prepare records of minutes of meeting.
- Assist accountants and prepare all financial data and reports.
- Evaluate all physical contracts with products and billing plans.
- Organize customer contracts and evaluate all agreements and invoices.
- Manage all petty cash and prepare cash flow reports.
- Coordinate with management and recommend improvement in quality of accounting and provide operational support.
- Must be proficient in and have working knowledge of Quick Books Accounting Software.
Administrative:
- Dealing with telephone and email enquiries,
- Creating and maintaining filing systems
- Arranging meetings and appointments and organising travel for staff.
- Using a variety of software packages, such as Microsoft Word, Outlook, Powerpoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets and databases;
- Devising and maintaining office systems;
- Using content management systems to maintain and update websites and internal databases;
- Attending meetings, taking minutes and keeping notes;
- Managing and maintaining budgets, as well as invoicing;
- Ordering and maintaining stationery and equipment;
- Sorting and distributing incoming post and organising and sending outgoing post.
