ACCOUNTING
- Daily Invoicing & preparation of pro-forma invoices
- Handling payments by credit card, cash and cheque at front desk
- Tracking payments made through e-commerce platform
- Receivable follow up/ Keeping record of Installment plans and sending follow up emails/calls
- Passing entries, sending daily reports/vouchers to the head office
- Handling petty cash and related expense reports
- Maintain Stock Inventory including inventory of products and consumables, monitoring stock levels and updating stocks after each event
- Maintaining sales ledgers
- Maintaining record of payments and balances with key suppliers
- Coordinating process and payments to suppliers
- Keep a record of VAT invoices for VAT returns
- Make sure cash deposits are made immediately on the next day of receipt
- Upon completion of every course, ensure costing sheets are ready and sent to Head Office for approval
RECEPTION
- General reception duties including answering all incoming calls, greeting clients and documenting in computer system.
- Handle phone based enquiries and provide the customer with preliminary information as required and delegate accordingly to the sales team
- Coordinate staff & office requirements between IMA office and head office
- Provide administrative support to the company as a whole from scanning and copying to filing
- Assist with the scheduling of courses and events
- Providing operational support for all events held at IMA from planning to delivery, including catering management with suppliers
- Assist with coordination of staff, patients and equipment on day of courses
- Keep electronic and paper medical records up to date at all times
- Maintaining attendance records of clients
- Coordinating Maintenance for the office
