Meetings and Groups Planner

Reporting to the Market Leader based in Singapore, this role you will be supporting our clients in planning and coordination of corporate meetings & events.
Job Responsibilities - Responsible for end to end planning and coordination for meetings and events (Incentive trip, Dinner & Dance, Conferences, Product Launch, Company Tours etc)
- Act as the key client contact for program including proposal creation and presentation, contracting, regular WIP reviews, ongoing engagement and escalation as needed
- Source, Negotiate, Contract and Manage all vendors / suppliers for the meeting and ensure quality services at efficient rates
- Create and manage critical path for event(s) including key dates internally and externally
- Create, design and manage all aspects of the program (food and beverage, activities, transport, design theme etc)
- Attendee Management and associated aspects (initiations, itineraries, rooming lists, special needs, dietary requirements, attendee communications etc)
- Coordinate with the air ticketing team for the event to ensure seamless operations and client facing engagement
- Facilitate all supplier payments including regular reporting on fund movements
- Create and manage the initial, negotiated, working and final budgets throughout the program in an accurate and timely manner
- Proactive management of event, account and profitability
- Full financial reconciliation post event within defined SLA parameters
- Coordinate and support teammates in fulfilment and execution of meetings & events
- Participate in audit compliance and support operational excellence initiatives
Requirement - Diploma or Degree in Hospitality, Tourism, Marketing or a related field
- At least 5 years of relevant experience in Events & Meetings Management
- Proven track record in end to end management of corporate meetings & events
- Ability to work with the clients to develop programs, including destination selection, site inspections, negotiations, costing and onsite management through final billing
- Ability to work within budgetary parameters and meeting critical deadlines
- Independently handle multiple projects in a fast paced, time sensitive environment
- Candidate should be flexible, detail oriented and able to work under pressure.
- Ability to communicate effectively and professionally with all levels of management, vendors and clients exhibiting excellent written and verbal communication skills
- Must be proficient in Microsoft software including Word, Excel and PowerPoint applications
- Proficient in Events Software, i.e. EventsPro, Starcite, Cvent or similar
- Comfortable working both independently and as part of a team
