Job description: JOB DESCRIPTION function PURPOSE
The incumbent will support the Program Director in managing all contracted vendors as per the APTO program for DHL across all businesses in Asia Pacific. The functions and responsibilities will include the validation, documentation, development, implementation, maintenance and continuous improvement of all vendor contracts, and Benefit Tracking mechanics and tools. Specifically, the incumbent will support the Vendor Management in ensuring the contracted providers deliver the savings and business benefits in conjunction with the business units. The function will also be responsible for monitoring the commercial implications of performance of Service Level Agreement (SLA) against contract terms for primary vendors and business partners. He/she will be responsible and accountable for the provision of commercial information to all the project stakeholders (local & regional). The incumbent will work closely with the IT, Finance & Procurement leadership abilities groups as well as all business units across AP.
MAIN ACCOUNTABILITIES » Supports the negotiation process of rates, terms and conditions of an agreement.
» Provides analyses and makes recommendations for viable alternatives.
» Facilitates in agreement review discussions.
» Facilitates in tracking and documenting all phases of agreement review and negotiation all over the process as required.
» Collaborates with vendors and legal counsel to resolve agreement issues as required.
» Uses skills to ensure that commercial terms and conditions of an agreement are thoroughly reviewed and documented, and risk to DHL is mitigated.
» Develop, implement and owns the process by which the commercial benefits of the contracts will be tracked and reported.
» Provides analyses that support decisions-making related to and the management of:
» Vendors’ Performance
» Contract Changes
» Telecoms spend on CAPEX & OPEX
» Baselines, Budgets & Forecasts
» Ensures timely, significant and accurate benefits reporting to stakeholders to enable:
» well-informed decisions-making;
» focused reviews and prioritized management to drive efficiency savings/mitigate losses;
» active management of vendor performance against goals & contracted SLA;
» early detection of key risks/conflict potential;
» monitoring of credit refunds resulting from vendor SLA failures
» Ensures all inputs/tools provided by vendors and/or DHL units are validated and documented before acceptance for use/delivery.
» Ensures alignment of expectations between DHL stakeholders and vendors.
» Ensures all DHL stakeholders clearly understand key concepts, methodologies employed, and processes followed in the APTO project.
» Prioritizes and ensures responsiveness to issues raised; follows up to ensure good progress in issue-resolution.
» Ensures consumption-located billing is implemented.
» Facilitates both formal & informal benchmarking.
» Provides Global Bodies any commercial analysis related to SLA’s and the provision of services by the vendors as required
REQUIREMENTS » 5 years practice in a commercial function
» practice in managing large budgets (excess of €50M)
» Keen knowledge, both at strategic and working level, of financial manager, budgeting/target-setting, forecasting, management information, management review, intervention and decision-making processes.
» capability to build and evaluate complex financial models, analyze data and provide key insights to facilitate decision-making.
» capability to anticipate issues and critically analyze the problems, develop options and make recommendations for resolutions.
» capability to commercially evaluate contracts and Service Level Agreements
» capability to engage and work across multiple teams and levels.
» capability to work independently with minimal supervision.
» Understands Program Management principles with practice of implementing projects in a multi-cultural, multi-national environment.
» Results oriented with a strong focus on high quality service performance across different locations with different conditions.
» Strong communications and presentation skills, to a multi-cultural Information technology and business audience
