Your role: This role provides advanced business operations support to the Immuno-Oncology (IO) Translational Innovation Platform (TIP) at EMD Serono driving towards administrative excellence for the department. This position will proactively plan for and execute on all business management needs of the TIP-IO Head of Discovery and TIP-IO Billerica team; providing the highest quality administrative support with professionalism and customer service orientation, engagement confidentiality, and requiring exercise of judgment and initiative. They will lead, and provide recommendations regarding planning and execution of meetings, globally and locally; setting new standards for meeting excellence. The successful candidate will act as the voice and face of TIP-IO at EMD Serono at the Billerica site, presenting with the highest level of engagement, professionalism, and courtesy and customer service; becoming a trusted member of the function as well as the broader organization. This position interacts with high-level internal and external stakeholders and will reflect and communicate a positive image of the Head of Discovery and TIP-IO organization. This colleague will apply superior administrative and organizational skills, supporting organizational planning for the department across sites and geographies. Provides administrative support for special projects or assignments of a complex nature. Effectively manages assigned projects. Plans and coordinates project scheduling, budgeting, and administrative tasks. Supports the TIP IOTIP IO Head of Discovery by facilitating project logistics such as meetings, conference rooms, conference calls, etc. Resolves problems of limited complexity by identifying and providing solutions through the application of knowledge and acquired technical experience, and the analysis of factual information. Assists in design, development and preparation of presentation materials including, but not limited to, high-level PowerPoint presentation, organizational charts, graphics and content arrangement often intended for executive management or external partners. Work directly with the Legal and Compliance departments to create contracts for HCPs thru the START and/or CLEAR systems to ensure compliance. Manages ordering for laboratory supplies in proactive and timely manner. Delineate and organize logistics for cross functional meetings (onsite and offsite) including meetings with external experts such as workshops, deep dives and advisory boards
Who you are: Minimum 10 years administrative assistant with increasing responsibility related professional experience supporting senior-level management in a fast-paced global and matrixed environment.
- Excellent command of English language (verbal written, and listening);
- Advanced knowledge of personal computer, various office software packages (Microsoft Office software (Word, Excel, PowerPoint, Visio), filing systems and Knowledge of SAP
- H.S. Diploma.
Preferred: - Previous experience in an administrative capacity in the pharmaceutical industry is preferred
- College degree a plus
