Position Description ***THIS POSITION IS OPEN UNTIL FILLED***
The Grants Development Office (GDO) is an academic support office within the University's Research and Economic Development Office. The mission of the office is to provide guidance, information, and services to administrators, faculty, and staff engaged in extramurally funded research, instruction, professional development, and community service projects. Under the general supervision of the Director of the Grants Development and Sponsored Programs Offices, the College Grants Analyst will serve as a liaison between the central research administration support offices, Grants Development and Sponsored Programs, to provide essential pre-award and post-award administrative support for the College's sponsored project activities.
The following examples illustrate typical work activities and are not meant to be all inclusive or restrictive:
- Serve as the primary contact and liaison between the central research administration support offices and the faculty/staff engaged with sponsored research endeavors within the College.
- Maintain current knowledge of research administration policies and procedures, and best practices, to effectively and appropriately advise or resolve issues.
- Regularly interact with administrative units, i.e., Office of Research, Grants Development (central office), Sponsored Programs, and Technology Transfer, to facilitate on-going updates and information regarding the compliance or status of proposals and sponsored project activities, as appropriate to project directors, deans and/or department chairs, and organization executive management.
- Interact regularly and provide support to various campus administrative units to facilitate institutional compliance and oversight of research related operations.
- Participate in presenting topical workshops to faculty and program directors.
- Participate in reviewing and implementing proposal processing and project expense procedures.

Minimum Qualifications (Staff Only)
Equivalent to graduation from a four-year college or university. One year of technical or administrative experience. A graduate degree in a related field may be substituted for one year of the required experience. Additional qualifying experience may be substituted for the required education on a year-for-year basis.
Required Qualifications / Specialized Skills
- Working knowledge of or the ability to quickly learn grants and contracts development and research administration and the ability to keep abreast of issues in higher education and research administration.
- Working knowledge of or ability to quickly learn University infrastructure, policies, and procedures.
- Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques; and effectively report on analysis, findings, and recommendations.
- Ability to research and analyze information with the ability to apply discretion and initiative in recommending appropriate solutions to resolve problems.
- Ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the applicable program.
- Ability to take initiative, independently plan, organize, coordinate and prioritize work, and perform in various situations where numerous and diverse demands with time constraints and overlapping requirements are involved.
- Excellent computer skills with demonstrated proficiency using standard office software programs, including word processing, formulas in spreadsheets, data entry, email, and online calendars. General knowledge and ability to use the internet (i.e., websites, email, online proposal preparation, document uploads, and other electronic research tools).
- Excellent organizational and time management skills with the ability to maintain a high degree of accuracy while setting own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
- Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.
- Demonstrated ability to work in a professional manner effectively and cooperatively with a diverse clientele, including interactions with difficult and demanding individuals both in public and private organizations.
- Excellent communication skills with the ability to provide training to others. Must be able to communicate professionally, openly, and effectively with the ability to identify and understand questions and provide helpful responses for problem resolution.
- Excellent written communication and proofreading skills (spelling, punctuation, and grammar) with a high attention to detail.
- Demonstrated ability to maintain a high degree of confidentiality.
- Ability to foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere.
- Ability to learn and adapt to the use of new technology, such as web-based tools.
Preferred Qualifications / Skills
- Experience in a University sponsored programs or similar office with experience in grants and contracts preparation and submission.
- Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.
- Proficiency in using Microsoft Office, including Outlook, Word, Excel, Access, and PowerPoint, and ability to quickly learn a variety of computer programs, as well as specific knowledge of funding search engines such as Sponsored Programs Information Network (SPIN), grants.gov, and other various computer applications and web-based programs to enter and retrieve information, program databases, and research funding sources.
Special Conditions (Staff)

- Must be willing to travel and attend workshops and/or training programs off-site for occasional professional development.
- Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
- Ability to work in a busy office with related noise from office equipment and people.
- Must be able to work outside regular office hours to meet grant deadlines.
- This position classification has been defined as non-exempt and is subject to overtime provisions of the Fair Labor Standards Act (FLSA).
The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
May be required to complete a Supplemental Employment Application Questionnaire, which contains questions pertaining to conviction history, and submit it when requested by Cal Poly. This disclosure is confidential and will not necessarily preclude applicants from employment.
Retired CalPERS members selected for this vacancy must request and be approved for reinstatement from retirement prior to the start date. Employment of retired CalPERS members will typically be for 90 days or less and must be for work requiring specialized skills or for a bona fide emergency to prevent stoppage of business.
