Southern Oregon Goodwill is looking for an Executive Assistant to join our Medford team!
This position provides a variety of administrative and operational support for the division Vice President, relieving them of clerical detail and using their ability and initiative to act in the Vice President's absence. Essential Duties and Responsibilities include the following.
Coordinate communications between supervisor and other staff both within and outside the work unit; receive and relay sensitive information; schedule appointments, meetings and travel arrangements; retrieve materials and information needed for appointments.
Conduct a variety of research projects and reports using the Internet, telephone and in-person contact.
Travels to regional locations for a variety of assignments.
Coordinates, packs and distributes special orders and specialized donation activities.
Format, edit and produce a variety of materials such as executive correspondence, presentations, charts, graphs, instructional materials and reports.
Compile information; prepare reports that summarize statistical information related to division operations.
Maintain and monitor statistical information; ensure data is current, complete and accurate; create spreadsheets including formulas to organize, display and summarize data. Monitors data for regulatory audits and reports.
Coordinates or participates in committee or group planning for special or recurring major events.
Assist with planning, preparation and on-site set up and staffing for occasional special events outside of normal business hours.
Enter a variety of data into computer; retrieve data as requested; operate a variety of office machines including computer, printer, copier and fax.
Screen supervisor's calls, assessing relative importance of each call; respond to requests for information, take detailed messages concerning issues of significance and pass them along promptly.
Coordinate, schedule and attend meetings; prepare agenda and action items; take minutes; transcribe and distribute written summaries or minutes.
Acts as a backup receptionist; answer telephone; assist visitors; take messages and deliver to appropriate staff member.
Receive, sort and distribute incoming and outgoing mail.
Assist with new goods purchasing and purchase orders as needed.
Learn retail basics (cashier register, putting product away, etc.) and assist stores as needed.
Coordinate store signage with marketing department and Director of Retail.
Education and Experience: High school diploma and two years recent experience in administrative assistant role required. AA degree in business administration or related field preferred. Exceptions may be made for upward career moves within the organization.
Fully proficient in Word, Excel, and Outlook mail and calendaring and the Internet.
Certificates, Licenses, Registrations: Valid Driver's License, clean driving record, car insurance and reliable transportation required.
