Now, we are looking for an Administrative Assistant to join our growing office in Chicago, IL.
Responsibilities Operations
- Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, that clerical functions are properly monitored, and office inventory completed on monthly basis. Creating automotive processes for office necessities and supplies.
- Provide training to support staff and cross-functional in technical tools and various office processes.
- All office related technical trouble-shooting and issue diagnosis and resolution. Coordinate and assist the IT department for the Chicago office. (RingCentral, GTM, Adobe, Printers, etc).
- Directly support to the executives from the following departments (CEO, Solutions Delivery, Sales, Finance, Human Resources, Director of Operations, Recruitment and their teams).
- Liaise with facility management, vendors, including cleaning, catering and security services.
- Manage contract and price negotiations/reassess costs with office vendors and service providers.
- Managing office calendars for engaged leaders. Personal assistant to the management personnel when necessary.
- Complete and coordinate on-boarding of new hires and off-boarding existing employees. Ensure new hire has the needed system access, tools, security access, etc. Employeeirthday wishes and gifts processes.
- Create, plan, coordinate and execute events for groups up to 120 participants (in-house or off-site activities, parties, celebrations, team building events and conferences).
- Solve any of the problems that arise throughout the day in the Chicago office.
- All office visitors are greeted and offered refreshments. Manage the main business line for incoming phone calls and direct to the proper department. Maintain office cleanliness and plant life.
Logistics
- Coordinated travel for both U.S. and non-US employees and consultants, including handling VISAs and passport management.
- Create business expense reports, code receipts properly and organize per legal regulations. Reconcile business expenses for executive team members as necessary.
Legal
- Hands on legal assistant in printing, organizing, and processing cases throughout the year.
Qualifications - Experience in dealing with customers of Foreign Nationals preferred.
- Valid Drivericense and driving experience.
- Knowledge of multiple languages is preferred.
- Excellent written and oral communication, strong interpersonal skills.
- Customer service experience.
- Proven organizational and data entering experience.
- Strong Microsoft Office skills.
- Collaborative work style, able to work well within and across departments.
