WHAT YOU CAN EXPECT - Keep the Senior Vice President abreast of all requests, proposals and general information from internal and external sources. Providing clear regular communication, confirming all activities and actions taken that day.
- Liaise with other managers on behalf of the SVP and relevant team members. Providing feedback and ensuring communication is pro-actively channeled in both directions.
- Responsible for coordination and creation of departmental presentations, meeting notes, updates, etc.. liaising intensively with all other department heads.
- Attend any applicable meetings in the absence of the SVP, ensure he is made aware of any updates and developments as well as requirements to follow up.
- Extensive diary management. Working closely with internal colleagues as well as external industry contacts. Organizing and coordinating all meetings and conference calls, often encompassing various time zones. Being aware of any sensitive issues that require urgent attention.
- Help manage the inbox of the SVP, monitoring the emails, flagging and where appropriate actioning or responding to requests on his behalf.
- Anticipate what information will be required in advance of meetings and deadlines and prepare such information in a timely manner.
- Provide support to SVP with ad hoc projects such as but not limited to market research, competitive research, presentation drafting and formatting, and other applicable initiatives, activities or required documentation.
- Ensure all important dates such as conferences, exhibitions and events are in the diary.
- Coordination of all business travel and accommodation arrangements for SVP (e.g. flights, schedules, transport, hotels).
- Provide detailed itineraries for all trips, ensuring all information is also accessible in Outlook, include contact information for all meetings and events. Ensure invitations and any related pre reading is also included.
- Accurately complete all administrative duties.
- Manage and organize the departmental contact base.
- Collate, organize and submitting expenses
- Assist SVP in team meetings and / or workshops
- If needed and from time to time, provide back up and support to other team members.
WHAT WE EXPECT
- Degree level educated or equivalent
- Excellent written and spoken communication skills
- Experience with the luxury sector desirable
- Experience undertaking a similar role in a similar environment/business setting
- Excellent MS Office experience - High-level Powerpoint presentations and good Excel skills required
- Excellent and proven project coordination skills
- Understanding of the luxury and design industry ideal
