Promotes efficiency and effectiveness with the executive department by conserving the President's time and upholding the organization's mission and image. Represents the president internally and externally, serve as a liaison between the president, key executives, employees and stakeholders.
DUTIES AND RESPONSIBILITIES: - Provides administrative support that includes secretarial, administrative and support services, with little or no supervision.
- Responsible for correspondence, telephone coverage, calendar maintenance, and special projects.
- Represents the president by welcoming visitors, reviewing correspondence; arranging organization meetings and functions; answering questions and requests directed to the president.
- Creates databases, prepares and manages tracking documents as requested. Maintains electronic and paper files, including employee records.
- Attends meetings and prepares minutes as requested. Researches, gathers, and/or compiles information as required by the president.
- Assures travel arrangements are properly scheduled and meet the needs of those individuals traveling. Develops itineraries and agendas, books transportation, arranges lodging and meeting accommodations.
- Exercises good judgment and exemplifies a professional presence and calm demeanor when dealing with all issues and situations.
- Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans.
- Improves quality results by studying, evaluating, and re-designing processes; implementing changes.
- Receives and screens inquiries (phone, mail, e-mail and in person) utilizing appropriate judgment in responding or referring to other staff or to IYI executives.
- Enhances president's and organization's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
JOB REQUIREMENTS: - Bachelor's degree in business administration or a related field with two years of office administration or related experience OR in lieu of degree, eight years directly related administrative support experience preferably supporting at the executive level.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Advanced written and verbal communication skills.
- Proven ability to handle confidential information with discretion; must be adaptable to juggle various competing priorities, and demonstrate the highest level of customer/client service and response.
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
- Advanced knowledge of Microsoft Office (Outlook, Word, Excel, SharePoint and Power Point).
WORKING CONDITIONS: - The majority of work for this position is performed in a standard office environment.
- Generally, there is minimal exposure to hazard or a high degree of discomfort.
- Position involves sitting, standing, computer work and occasional light lifting.
- Limited additional hours over the standard work week may be required.
