Job Description Administrative Assistant, Office of the President
Responsibilities: - Provide a full range of administrative support to the Chief of Staff, the Executive Director for Diversity and Inclusion, the Senior Project Manager and the Presidentxecutive Assistant.
- Manage scheduling and travel arrangements for the Chief of Staff.
- Promote a positive image of the University by greeting and receiving visitors to the Presidentffice and referring enquiries/problems to the appropriate person or department.
- Using the Kuali Financial System, create check requests (DVs), purchase requisitions, etc., ensuring proper routing, approval and follow through.
- Using Concur, process travel and expense reimbursements and reconcile purchasing cards.
- Schedule use of the Presidentonference Room and the Taylor Board Room.
- Provide support (e.g., scheduling, coordinating food logistics etc.) for meetings and events.
- Work closely with University administrative staff (e.g., physical plant, catering) to facilitate all elements of department operations.
- Maintain office supplies. Ensure that office and Xerox supplies are stocked.
- Perform other duties and responsibilities as requested.
Requirements: - Position requires a college degree or equivalent administrative professional experience.
- Demonstrated success in handling varied, multiple and competing priorities in a high volume office with a pleasant and cheerful demeanor.
- Ability to set priorities.
- Ability to take initiative, self-motivate ad function autonomously
- Strong interpersonal skills with excellent written and verbal communication skills.
- Accuracy and ability to focus attention to detail.
- Excellent computer skills especially in word processing (Word), Power Point, Excel, Access and familiarity with scheduling software.
