Job Description Position Overview: Molex is seeking an experienced Administrative Assistant for support within the Transportation & Industrial Solutions Division. This position provides a wide variety of advanced administrative and clerical support services to the organizational unit.
Essential Functions: - Independently organizes and maintains supervisor's records, correspondence and follows up on pending matters.
- Organizes materials from various sources into a finished document or report for supervisor's review and action. Prepares special reports, gathering and summarizing data.
- Handles routine conference arrangements, timecards, and absence reports.
- Arranges travel; checks with supervisor in making significant changes.
- Organizes and maintains files of correspondence and records. Tracks action items. Initiates follow-up actions to assure all elements of task are completed.
- Receives and screens telephone calls, letters, and/or visitors.
- Answers routine questions, obtains and furnishes information to assist supervisor.
- Copies, routes, and distributes correspondence and reports.
- Administers and completes expense reporting for individuals or managers within the department
- Routinely schedules department meetings, in addition to preparing materials for such meetings.
- Provides general department administrative support for a large number of employees

Position Qualifications Required Qualifications:
- High School Diploma or GED
- 3 years of administrative support experience
- Proficiency in Microsoft Excel, PowerPoint, & Word
Preferred Qualifications:
- Associates Degree
- 5+ years of corporate administrative experience supporting Product Management, Engineering, Design, Marketing and/or Business Development teams
- SAP experience
- Language skills in Spanish, German, Chinese and/or Japanese helpful
Skills and Abilities: - Excellent verbal and written communication skills with strong attention to detail and precision
- Ability to write, edit and proofread with precision, and correspond with tact and diplomacy; strong project management and organizational skills with the ability to successfully manage multiple projects and deadlines simultaneously
- Excellent organization and planning skills to build relationships, prioritize conflicting needs and proactively follow-through on projects to successful conclusion; ability to work effectively with MS Office (Word, Excel, PowerPoint) and willingness to learn other tools and systems
- Demonstrated sense of urgency while remaining calm under pressure of changing needs of the team and the business
- Professional demeanor with the ability to interface effectively with other functions and at all organizational levels
- Ability to control and protect confidential information
- Ability to analyze information and/or a situation and resolve the issue with a sound solution
- Demonstrated ownership and accountability for assigned tasks, and initiative to add value to the role
