As the Director of Project Procurement, you will oversee the development of proposals, bids, quotations, or other documents describing organizational products and services in response to requests from prospective clients. As such, you will collaborate with Hilton Supply Management (HSM) members of the sales, finance, legal, or project teams to ensure content is complete, accurate, and timely, as well as recommend enhancements to the organization's products or services based on inquiries from prospects. You will also provide input to strategic decisions that affect the functional area of responsibility.
What will I be doing?
As the Director of Project Procurement, you will need to be experienced in obtaining pricing from our operations group and/or our external partner network, as well as with scheduling and running proposal kick-off meetings, facilitating key review meetings and final document review, coordinating proposal governance and sign-off, document production, and delivery of the completed proposal. Additionally, you will oversee estimating services to develop cost estimates and coordinate proposals for assigned estimating projects.
As a Team Member in this role, you will be responsible for:
Project Management:
- Use proven organizational skills, knowledge of the bid process and experience working with cross-functional teams and securing large contracts to establish process for providing Requests for Proposals (RFPand estimating activities
- Oversee resources and activities of Project Services and confer as appropriate with key stakeholders so objectives are accomplished
- Assess actual performance against standards to determine whether the department is on target to reach its goals and take corrective actions as necessary
- Evaluate supplier performance within targeted markets; review and make appropriate adjustments in activities and expenses throughout the fiscal year to ensure optimal financial results to work within departmental and project budgets
Customer Focus:
- Use attention to detail and excellent time management and organizational skills to closely coordinate company executive involvement with customer management
- Direct the coordination, review and edits of proposal input from a variety of stakeholders, typically involving contributions from sales, project teams, finance, and legal
- Direct the delivery of compliant, professionally produced proposals and responses within customer-defined timeframes
- Use excellent customer relationship skills to manage the cross-functional links between key stakeholders within the company to plan, produce and deliver compliant proposals within a complex business environment
- Create pricing solutions that comply with customer requirements in order to achieve their ultimate goal of securing winning bids
- Implement and maintain document management and other systems to collect and distribute key data from hotels and suppliers to brand management teams
Communication:
- Must be capable of resolving escalated issues arising from operations and requiring coordination with other departments
- Ensure the communication plan, as established by the department head, is properly executed
- Conduct effective management and communication between third party partners, the Brands, and individual constituents
- Coordinate program development and assist in communicating the program to third party partners, Strategic Sourcing, Brands, and constituents
Strategic Planning & Execution:
- Use experience to effectively execute strategic plans while in partnership with senior leadership to direct the development and administration of product and service initiatives leading to a steady flow of revenue to cover expenses
- Create functional strategies and specific objectives for the sub-function and develop budgets, policies and procedures to support the functional infrastructure
- Direct the maintenance of cost database and provide historical data based on requests
Leadership & People Management:
- Lead the development of transformation of Team Members to create an environment that encourages active participation and teamwork with paths for advancement and improvement
- Determine staffing needs and oversee the recruiting, selecting, hiring, training, and developing of department Team Members or contingent workforce as required
- Manage departmental processes and procedures to ensure the strategies and directives of the department are carried out in accordance with department and company objectives
- Prioritize and organize the assignment of tasks, while ensuring optimal allocation of resources
- Translate organizational goals and objectives into performance standards for department and individual positions
Qualifications What are we looking for? To fulfill this role successfully, you must possess the following minimum qualifications and experience:
- Minimum Education: BA/BS Bachelor's Degree in related field
- Minimum Years of Experience: six (6) years of experience with Corporate Procurement, Sourcing, or Sales experience related to construction materials
- Minimum Years of Experience: five (5) years of relationship management experience
- Minimum Years of Experience: three (3) years of project related financial analysis experience
- Minimum Years of Experience: two (2) years of experience preparing and responding to RFPs
- Minimum Years of Experience: two (2) years of Management experience
- Management Experience (type): Supervisor/Manager: 1-3 People
- Additional Requirements (i.e. % of travel time, etc.):
- Ability to travel as required

- Minimum Education: MA/MS Master's Degree
- Minimum Years of Management Experience: 5+ years
- Minimum Years of Experience: ten (10) years in Hospitality experience
- CPM or CPSM certification
- In-depth knowledge of hospitality supply chain management
