Recruiting Assistant Job Description
POSITION SUMMARY: This position will provide Administrative support for the Physician Recruiters for his/her respective division. Responsibilities include, but are not limited to the following essential functions.
Essential Duties and Responsibilities : - Facilitate marketing for candidates including email blasts if needed, job boards, mailers, flyers and fact sheets as needed
- Assist Recruiter with scheduling interviews and coordinating schedules of all parties involved
- Coordinate thank you packages to interviewed providers
- Facilitate the onboarding of new providers including required credentialing document collection, welcome packets/packages and introductions to department contacts
- Work in conjunction with the Credentialing Department to ensure quick onboarding of candidates
- Conduct weekly meetings with Recruiters to review administrative responsibilities as it pertains to the sites and the candidates. Review pipeline to ensure candidates are moving through the process efficiently
- Move candidate from the recruiting stage to credentialing stage in the internal applicant tracking system (ATS)
- Create Contract Request Forms (CRF) in applicant tracking system and send to contracting department for contract creation
- Process expenses, check requests, and any other financial documents related to the recruitment process for the candidate
- Assist with packing and shipping of promotional items to Conferences, Residency Dinners, and Hospital Facilities as needed
- Submit interview travel for candidates. Prepare itineraries and interview packets accordingly in collaboration with recruiters
- Participate in data collection as instructed by management team
- Prepare reports as needed
- Provide administrative responsibilities, such as meeting minutes, webex calls, distribution lists, processing of invoices, recruiter incentives, referral bonuses etc
- Coordinate the locums process and communication with the Recruiting Assistant Supervisor. Responsible for receiving of timely feedback and communication from both the recruiters and the agencies
- Other duties as assigned by Recruiting Assistant Supervisor
- Adhere to all company policies and procedures
Minimum Qualifications: Education/Licensing/Certification:
- High school graduate with prior administrative experience
- Bacheloregree preferred
Experience: - Prior administrative experience assisting sales or recruiting preferred or one year or internship in office support role required
- Candidate must have ability to work in rapidly changing healthcare environment
- Versatile computer skills required, proficient in Microsoft Windows Programs, i.e., Word, Excel, PowerPoint, Outlook, Database Management
- Marketing design skills a plus

- Must possess excellent oral and written communication skills
- Strong organizational skills
- Ability to take on multiple tasks and function under stressful situations and deadlines
- Able to work collaboratively within a team environment
