The Program Management Office (PMO) seeks an experienced Senior IT Project Manager/Program Lead (PM) to lead an ongoing Agile Scrum custom development project using Appian iBPMS and tightly integrated with Oracle EBS.
- The ideal candidate will be able to step in and provide high-level coordination, strategy and oversight while removing roadblocks for an already high-performing team with highly capable leads.
The primary responsibility of the Project Manager is managing the overall Project plan across sub team plans and points of interdependencies. * Additionally, to monitor interdependent projects outside the program that could have an impact on the program timeline to deliver a successful large implementation, while meeting time-lines and budget requirements. The Project Manager will work with the PMO and stakeholders to negotiate deliverable dates that do not impact program timelines as well as monitor those projects for changes and risks in interdependencies.
- The PM may also be asked to assist the implementation team leads with coordination and prioritizing of project tasks, managing time-lines, maintaining project plans and communicating status to key stakeholders, project sponsors and senior management.
Specialty Skills, Experiences and Responsibilities
- Ability to pick up a project in progress and adapt to existing project management tools and methods to avoid disruption to existing project team.
- Experienced in working on large Programs with multiple projects underneath with interdependencies.
- Create and manage the detailed implementation schedule of a large project including also Integration and downstream impacts, data migration, and overall program interdependencies with other projects
- Experience with Appian, Agile Scrum and/or Oracle EBS are definite pluses.
- Identify and track project risks and issues, as well as define mitigation and contingency plans.
- Regular communication of project status, risks, and issues to clients and internal stakeholders.
- Ensure the delivery of an product capable of achieving the agreed and defined business requirements to customer expectations and ensure customer satisfaction (stakeholders). This involves clear quality assurance processes are identified and executed.
- Have strong understanding of business and technical problems that teams are solving and can work with stakeholders and teams to prioritize, clarify, and organize work based on this knowledge.
- Experience with revenue recognition, billing and Oracle Project Accounting are pluses.
Project Planning
- Facilitate requirements gathering sessions with technology and business stakeholders
- Drive a technology assessment based on the outcome of the requirements gathering
- Coordinate all key project meetings, phone calls, meeting rooms, etc
- Work with business stakeholders and vendor to finalize and get signoff on detailed scope of the project in line with the high-level scope set forth in any Statements of Work (SoW) & project charters
- Develop and get signoff on the Project Strategy document, the "plan of plansncluding, but not limited to, the communications plan, project team structure, recurring meeting (including steering) frequency, etc
- Ensure all required deliverables as set forth in the BT RACI are included in the overall project schedule
- As necessary for applicable projects, collaborate with the BT Validation / Compliance Manager to ensure the system's validation, SOX, or other regulatory needs are assessed and defined
- Prepare for, and conduct, project kickoff presentation
- Begin preparations for Service Readiness Planning (handoffs to Production Support) at the onset of the project
Project Execution
- Manage overall scope of projects as defined in the project charter, including the scope, schedule, financials, etc of any project-related SoW
- Effectively manage all scope changes, including obtaining required approvals, aligning stakeholder expectations, and assessing any corresponding impacts to budget or schedule
- Manage overall project communications, including communications to executive stakeholders, BT colleagues, vendors, business stakeholders, and clients as needed
- Maintain issues & risks logs, ensuring issues & risks are categorized and prioritized appropriately, working with project stakeholders on risk mitigation strategies and action plans for issues, and escalating / raising at appropriate times
- Manage the project schedule, baselining it and getting sign-off on it when scope is finalized, and always managing actuals vs. forecast vs. baseline
- Continuing the existing project cadence of meetings including daily standups, weekly leadership meetings and periodic steering committee meetings.
- As dictated by the scope of different projects, work in close collaboration with vendor resources, multiple business units, and all BT teams to ensure the project is getting executed and will deliver the baselined scope within budget and schedule
- Ensure all key deliverables are being produced, stored in the appropriate repository, and when applicable, signed-off on
- Prepare weekly status reports (Sharepoint) and monthly / bi-monthly steering committee presentations
Project Closeout
- In coordination with Finance, ensure purchase orders are closed
- Ensure all project deliverables are housed in the project document repository (SharePoint) and transitioned to ongoing production support teams.
- Manage all activities required for multiple production cutovers including a smooth handoff to Production Support and the associated decommissioning of any legacy systems / contracts
- Obtain business acceptance of newly released production systems
- Conduct lessons learned / post mortem meeting with BT, business, and vendor resources

Management / Supervisory Responsibilities
- None, other than the inherent responsibility of ensuring cross-functional resources assigned to tasks for a given project are executing those tasks
Qualifications
Education, Licensing, and Certifications Required
- Bachelor's Degree, preferably with a technical concentration Preferred stems Integration Consulting / Management Consulting experience
- Preferred - Relevant Pharmaceutical / CRO industry experience
- Preferred - Past IT experience in other, hands-on capacities (e.g. developer, database administrator, etc)
Experience Required
- 10 - 15 years of Project Management experience. Preferably Project Management Professional (PMP) Certified.
- Minimum 10 years project management experience in a large ERP solution environment, including the management of budget, risks, resources, scope, issues, changes and quality.
- Experience implementing/using Oracle in an ERP solution (via Mergers / Acquisitions is a plus).
- Experience working with all levels of management up to C-level - both in working groups and at a presentation level.
- Business Process Mapping and experience in translating customer business requirements into workable business solutions
- Proven experience with Change Management
- Effective written and verbal communication skills
- Proficient with common Microsoft Office applications (e.g. Excel, Power Point, Word, One Note)
- Experience working with Sharepoint (or similar) project workspaces / document repositories
- Agile / Scrum system development lifecycle experience
- Waterfall system development lifecycle (SDLC) experience
- Technically skilled Project Management professional comfortable managing the tasks of application engineers, database administrators, data architects, infrastructure, security, and other technical functions
- Must have experience working with local and virtual teams.
- Must have experience managing mixed internal/vendor and vendor-only project delivery teams
Skills and Knowledge Required
- Excellent project management skills, including an advanced proficiency in ERP Project Management methodology, tools and practices.
