The Office Assistant position will provide reception, clerical, and administrative support for the Vice President for Finance Office. Responsibilities include scheduling meetings, assembling/distributing agenda and meeting materials, creating/updating spreadsheets, scanning, copying, filing, shredding, answering phones, delivery of documents, managing/scheduling the office conference room and special projects as requested. This position will provide backup coverage for departmental staff lunch rotations on a daily basis. In addition, this position will help with fiscal duties such as data tracking and purchasing as well as related financial responsibilities.
Required Qualifications: - Administrative support experience in a professional office environment with skills including visitor reception, scheduling, and handling multiple phone lines.
- Demonstrated ability to prioritize and manage multiple tasks concurrently with excellent organizational skills and attention to detail.
- Ability to work collaboratively in a higher education environment.
- Exceptional communication and interpersonal skills with the ability to professionally communicate and interact with diverse groups.
- Demonstrated proficiency with computer applications such as Microsoft Office, Outlook, and Adobe Pro.
- Ability to produce error-free correspondence and documents.
- Ability to work quickly and accurately to compile data and prepare reports by established deadlines.
- Ability to work independently with minimal supervision.
- Ability to work in a high-pressure environment while working on multiple tasks simultaneously.
- Demonstrated ability to work with confidential and sensitive information.
Preferred Qualifications:
- Experience with the HokieMart system and knowledge of procurement policies and procedures.
- Experience reconciling or tracking fiscal data.
- Experience in event planning, public relations, special events or similar background.
- Specific knowledge of unit programs, activities and reporting structure a plus.
