New York University Abu Dhabi (NYUAD) seeks to appoint a Manager, Social Science Operations.
The Manager, Social Science Operations provides high level operational support to the Social Science faculty and manages the operational administrative staff. Situated at the front lines operating as a triage unit that can diagnose and identify systemic issues, this role is enabled to escalate issues to the appropriate departments while demonstrating a high level of customer service to faculty, staff, and peers. This position reports directly to the Assistant Dean of Social Science. Duties include ensuring the following;
- Efficient management of the division's resources
- Meets the administrative needs of faculty in residence
- Leads and develops other administrative team members
- Assist and advise the Dean and Assistant Dean in relation to monitoring the quality and standards of the faculty’s program delivery work and implementing the University’s academic quality assurance principles and procedures
- Work effectively with the Dean, program heads, course directors and staff to acquire faculty development and affairs
Key Responsibilities Day to Day Operations
- Supervises operational services to faculty and the hiring, training, and evaluation of staff; identifies and prioritizes assignments to ensure deadlines are met and reviews work for accuracy; assesses needs, plans for, and facilitates requests for space, equipment, telecommunications services, information technology, and facility services
- Develops and administers office procedures and workflow systems to ensure smooth day-to-day operation, ensuring staff workload is at realistic levels. Conversant in Workday system
- Serves as liaison to all affiliated vendors to negotiate costs and supervise scheduling/arrangements for services. Training and troubleshooting for faculty research funds and pre- and post-grant awards. Processing of suppliers, contracts and invoices
- Effective triage of general inquiries and smooth running of day-to-day operations, admin weekly meetings, problem solving and load sharing of admin work
- Act as a point person for all Social Science faculty in regards to administrative queries, be able to advise accordingly and connect with relevant other divisions/departments/stakeholders when necessary. Have a current working knowledge of policies and procedures that faculty are using on a regular basis
- Annually obtain executive approval for funded conferences, and confirm the responsibilities and budget with Research Institute support. Oversight of administrators for full planning, management and execution, of up to 4 conferences per academic year. Prepare progress reports and project status and escalate any deviation from goals
Faculty Affairs
- Tracks the academic progress of faculty– including managing 3rd year review submissions, tenure and promotion cases and alerting the Dean to other personnel related deadlines through-out the academic year
- Manage the flow of faculty planning and inform that Social Science Academic Programs team to maintain the teaching tracker based on the tenure/ contract review/ 3rd year review process
- Manage Sabbaticals, maternity leave etc.
- Oversees and maintains professional and confidential records for the Dean, including materials that relate to the Dean's academic assessments and faculty activities - academic presentations, publications and teaching
- Key liaison between NY and Abu Dhabi for all recruitment and faculty related issues or questions
Recruitment
- Manage the entire recruitment process, from planning to execution for job ads, visits, coordination with HR for all members, visiting and adjunct, post docs, fellows, and instructors
- Manage recruitment budget and tracking, and liaise between NY and Abu Dhabi
Divisional oversight
- Responsible for checking documentation for error and adherence to policy prior to requesting Dean’s approval
- Prepares materials and reports for distribution to internal and external audiences, administrative officers, faculty, and staff. Maintains documentation of all information from faculty meetings, and weekly planning meetings
- Oversight of the executive assistant in supporting the Dean; oversees his calendar, travel, expenses, IT, and all ad hoc requests
- Oversight for on boarding/off boarding for the division
Education requirements (essential)
- Bachelor’s degree and advanced degree welcome
Education requirements (desirable)
- Bachelor’s Degree with a strong Business Administration background; advanced degree welcome as well as management certification
Experience requirements (essential)
- 3-6+ years of experience in comparable position
- A record of advancement and growth at progressively more responsible levels, preferably with an international research university; or an established international company/private organization; or governmental body operating in the UAE and experience working with institutions of a multi-national nature
- Excellent interpersonal, written, and verbal communication skills
- Ability to interact professionally at all levels, capable of representing the Dean in the presence of international visitors, scholars, peers, senior leadership and team members whose work is important to the functioning of the Division of Social Science
- Superb organizational skills, an ability to manage and prioritize multiple projects to meet tight deadlines
- Professional maturity and judgment consistent with leadership-support responsibilities, including exceptional discretion and a capacity for resourceful initiative in a team context
- Skilled in dealing with people, using tact, diplomacy and intercultural sensitivity, and the ability to maintain a high level of confidentiality
