SFMOMA expanded the museum to provide a better experience for our visitors and a better home for our expanding collections, including the SFMOMA collection and the Fisher Collection, one of the finest collections of contemporary art in the world. The new SFMOMA, designed in collaboration with the architecture firm Snta, opened May 14th 2016. With this project, we are transforming not just the museum's physical presence, but also our contributions to the community, enhancing SFMOMA's role as a place for learning, inspiration, and interaction for visitors from the Bay Area and beyond. We are making SFMOMA a magnet for contemporary art and for the audiences who will engage with it.
The Accountant is responsible for managing all Museum accounts payable functions within the Museum's established policies and monthly reconciliations and analysis of various balance sheet accounts.
ESSENTIAL RESPONSIBILITIES: - Managing all Accounts Payable function; responsible for auditing all payable documentations and ensuring that appropriate receipts/documents are attached to be in compliance with Museum policy
- Responsible for ensuring that all items that are necessary for proper recording of accounts payable are correct. These include: proper vendor number; accounting period; mathematical accuracy of all computations and entries; proper coding; correctness of budget code assignment; proper individual approval and departmental limits; use tax compliance, and non-employee compensation to be reported on 1099-misc forms
- Responsible for maintaining contract files; adherence to contract terms; adherence to Museum policy and procedure.
- Maintain files for invoices, voucher updates, paid check activity and other pertinent documentation. Ensure files are current, complete and organized.
- Coordinate and prepare annual 1099 information for submission to outside service bureaus and check accuracy of returned documents; follow up on related inquiries.
- Perform monthly reconciliation of various balance sheet accounts including those for travel advances and accounts payable. Prepare and review aging reports and vendor account analysis.
- Managing weekly check run; assist in minimizing manual checks and non-scheduled check runs. Responsible for the distribution of checks and obtaining the appropriate check signatures.
- Prepare standard corrections and journal entries (void checks, stop payment orders, coding corrections, etc.)
- Respond to inquiries from vendor and Museum staff regarding invoices and expense reports and other cash disbursements in an accurate, professional and timely manner.
- Manage and control check stock by use of a log and assure proper sequence of check numbers in the processing of payments.
- Responsible for wire transfers and foreign draft payments
- May perform the duties of the Senior Accounts Payable Accountant in his/her absence.
- Assist with year-end audit
- Perform other related duties as required.
MINIMUM QUALIFICATIONS: Education and Training: Possession of a baccalaureate degree in either Accounting or Business.
Work Experience: Three years of accounting experience preferred, non-profit and public accounting experience a plus.
Skills and Abilities: Understanding of basic general and cost accounting principles. Experience with accounting software required, Great Plains accounting software preferred. Ability to proficiently utilize computer applications particularly excel. Demonstrated attention to detail and proven accuracy. Excellent time management and organizational skills. Ability to satisfy deadlines and handle multiple tasks simultaneously. Strong interpersonal skills and ability to deal effectively with staff, vendors and members of the general public in a professional manner. Ability to maintain accurate and up-to-date records. Ability to use good judgment, work independently and meet deadlines. Ability to handle and safeguard confidential matters, data and reports.
WORKING CONDITIONS: Physical Demands: Lifting of no more than 15 pounds.
Special Environmental Factors: Largely sedentary work and close office setting.
