Work with other business operations including engineering, manufacturing and external Asia Pacific and Middle East sales.

Parent company, National Oilwell Varco - XL Systems has their head office in Houston, Texas, United States.
The role is based in XL Systems Singapore Sales office and travel to XL Systems manufacturing plant in Batam Indonesia will be required.
Organization reporting line
Reports directly to Inside Sales Manager, Asia Pacific and Middle East.

The role of project coordinator is pivotal to the success of the organization, provides the focal point for customer communications and internal communication post contract award to external sales and inside sales, manufacturing and internal functional departments and therefore carries a significant responsibility.
High standard in both oral and written communication is required.
As a direct result of the above, the job holder will be expected to develop relationships within all key functions of XL systems and NOV to heighten awareness, generate an understanding of customer needs and to develop a commitment to satisfying these needs throughout organization.

The job holder will be expected to demonstrate enhanced communication skills to enable constructive dialogue and the development of close relationships with customers, suppliers and internal functional departments at all levels.
Interpret contractual obligations from large O.D project and supply contracts.
Has working knowledge of incoterms.
Customer liaison to ensure that client’s needs are understood and exceeded.
Have proven attention to details, accuracy, and analytical skills and attained a high degree of numeric skills.
The job holder must be proactive, time sensitive, self- motivated, enthusiastic, personable and able to work with minimum supervision.
The job holder will be in regular contact with our customers and will be expected to maintain their trust and respect through their actions.
Due to the nature of the industry, work outside normal office hours will be required. Some weekend work may also arise.
Contact ability is required for project coordinator; this is mainly for professional purpose. Mobile phone communication is required for this purpose.
Project coordination
Job Duties Full ownership of project lifecycle: Plan, execute and monitor the project whilst considering triple constraints of time, scope/cost and quality.
Integrate closely with external sales and service personnel to ensure effective communication and understanding of the customer’s needs expectation and to facilitate order entry and manufacturing / supplier scheduling.
Managing any change requests in any specifications required during the project delivery phase
Maintain appropriate levels of inventory to secure short lead time enquiries. Management of internal and external suppliers. Monitor PDL subs and protector movement and aid in ensuring their timely return.
To have and maintain a comprehensive understanding of contracts and orders to enable the fulfilment of all contractual obligations.
Facilitate customer preproduction meetings. Host weekly global open order meeting with senior management.
Through regular discussions and meetings with internal personnel ensure a high standard of planning is performed to guarantee timely ordering, manufacturing and delivery of products and services required.
Ensuring prompt invoice payment and achievement of stated targets. Work closely with inventory to monitor the inventory movement.
Management for the issuance of MO (Manufacturing order).
Release PO (Purchase order) to XL Systems manufacturing plants.
Submit relevant documents to accounting for the preparation of invoices for sales and services.
Commercial
Receive, review, process customer order and respond in a timely manner to all customer enquiries throughout the entire project.
Liaise internally with appropriate functional departments (legal, engineering, finance/ tax, supply chain management, manufacturing, etc) to provide customers with the most appropriate response.
Ensure adherence to company policies and advance progress towards achieving company objectives.
Respond appropriately to all contracts clarifications and customer request for information in order maximize company opportunities; a regular and proactive approach will be required to seek areas where assistance may be given to build trust and enhance business opportunities
Thoroughly review all customer commitments versus variations and pricing clarifications post customer award.
Support ongoing requirements for contract variations and pricing clarifications post customer award.
Perform cost analysis on actual cost versus estimation in quotation.
Reporting & Administration
1. Update weekly activity report, update open order. Attend weekly open order meeting.
2. Maintain sales order on system server.
3. Maintain customer list and contact list
4. Assist with yearly forecast, budget reports and statistics
5. Maintain a detailed log and provide ad-hoc and monthly statistical reports to Regional Sales Manager.
Qualifications: Qualification Employee should be educated to a degree standard or high school standard as a minimum or have equivalent supply chain / project management & commercial experience.
Experience working in similar position in sales or marketing environment
Experience of large OD conductor / casing or OCTG in sales environment is preferred.
Sound knowledge of Microsoft office application and outlook is essential. Knowledge of integrated business systems is an advantage.
