Job description: JOB DESCRIPTION Responsibilities » The incumbent will assist to provide administrative support for the preparation and execution of CIPE’s Week 7 Learning Across Boundaries programme (and other CIPE programmes as needed).
» Coorindate experiential learning programme
Assist with the following tasks from July 29 to October 7, 2019:
» Compile, edit, and publish the booklet (collection of project proposals) for distribution to internal and external stakeholders.
» Coordinate the visa application process for all overseas projects. Help students fill out the necessary applications, prepare significant supporting documents, pay application fees, drop off and collect documents at embassies/consulates as needed.
» Collect and collate passport copies for all students, staff, and faculty going on overseas Week 7 projects. Complete data entry (passport information, dietary restrictions, and emergency contact details) for travel agency and airlines.
» Collect and collate required paperwork (risk acknowledgment and consent forms and medical forms) for all participating students, staff, and faculty.
» Support eam in the planning, set up and events (Fair, Pre-Departure Briefing, and Symposium).
» Create posters and other collateral for related events and assist with distribution across campus.
» contact with local bus and catering companies.
» Assist with individual project logistics as needed (e.g. researching and booking accommodation, transportation, meals, venues, activities, etc.).
» Other tasks and projects as assigned.
Requirements » Must be available to work on Saturday, October 5 from 8am to 4pm (Week 7 Symposium event).
» Prior practice in administration, event planning, and/or customer service.
» Basic design/desktop publishing expertise
» capability to use design software (e.g. Adobe Photoshop, Illustrator, InDesign) is desirable but not required
» Strong written and verbal communication expertise
» capability to organise information and processes
» capability to balance multiple tasks/projects at one time and meet deadlines
» capability to thrive in a dynamic and fast-paced office environment
» capability to work both independently and as part of a team
Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree, any field.
» Required skill(s): Events And Conferences Management, Adobe Illustrator, Adobe PhotoShop.
» At least 1 year(s) of working practice in the related field is required for this position.
» candidates must be willing to work in Clementi.
» Preferably Non-Executives specializing in Education, Public Relations/Communications or equivalent.
