Job description: JOB DESCRIPTION Reporting to the adjunct Director (Community & Access), the adjunct Manager/Manager (Community & Access) will be responsible for supporting and executing the training and development function in the Gallery’s volunteer management programme called the Best Friends of the Gallery. The candidate will be required to identify the gaps to create appropriate training and development programme for our database of up to 400 active volunteers so that they can continually deliver their volunteer functions at the optimal level of performance. The function will also include planning and strategizing the development of the BFG programme to build and sustain a strong community of volunteers dedicated to contributing and being a part of the Gallery’s mission. As part of the volunteer management team, the candidate will also be supporting the deployment of volunteer for tour requirements of the special exhibitions at the Gallery.
Working towards the mission of enhancing inclusivity and access to the Gallery, the candidate will also be working closely with internal and external stakeholder to develop content resources, programmes and tours for specific audience segments that require active involvement from our volunteers. This is to help build a strong community of volunteers with diverse talents as Gallery ‘ambassadors’ in supporting the advocacy, education and engagement work, particularly for Community & Access initiatives.
RESPONSIBILITIES Training and Development
» Identify gaps and develop significant training and development programmes for our volunteers that will support their needs to better perform volunteer functions such as the everyday guided tours, hospitality-related functions and any other access programme initiatives with volunteer support.
» Co-ordinate and/or execute training and development programmes for the volunteers and any other supporting stakeholders, if necessary
» Devise appropriate feedback formats or channels to review volunteers’ performance, training modules and trainers appointed as well as to monitor and assess visitor feedback received through volunteer service and volunteer feedback so that we can develop and offer appropriate training and expertise building to equip the volunteers
» Recommend recognition platforms and special initiatives to adopt Best Practices in volunteer management and engagement that enhance welfare, engagement and retention of our volunteers
» Evaluate all aspects of volunteer programmes (engagement activities) to ensure effectiveness and to recommend / implement changes as appropriate
Volunteer Office & Operations
» Contribute to the review and application of volunteer policies, procedures, and standards of volunteer service to ensure proper procedures and implementation of interviews, orientation, training, function assignments and engagement activities are in place. Also maintain clear procedures and terms of engagement between Gallery staff and volunteers.
» Represent the Community and Access team to participate in special exhibition project meetings to support the requirements of special exhibition guided tours as well as to lead the training and deployment needs for English and Mandarin tours for significant special exhibitions.
» Manage the Volunteer management system and Learning portal to better support learning and development of the volunteers
» Engage in regular cross-divisional projects and operation meetings to understand lapse in volunteer services to better reduce gaps in delivery
» Plan and execute training requirements to support recruitment of Docents, volunteers and other volunteers for the Gallery (whenever needed)
» Work proactively with staff to provide accurate information and assistance to volunteers
Content Development
» Support in significant stakeholder engagement to create and roll out significant programmes that will cater to the identified target audience
» Research and develop/co-develop content to support community engagement and volunteer participation that will increase their affinity and interest in the art collection of the Gallery
REQUIREMENTS » 4 – 6 years of significant work practice, preferably in volunteer management, community engagement, training and development.
» Passionate about engaging with volunteers, developing access initiatives and audience development.
» Must have excellent interpersonal, communication and presentation expertise to a broad audience base, and capability to engage professionally with corporate and academic partners at the same time
» Good group facilitation, interaction and problem-solving expertise
» capability to work well with a diverse group of staff, volunteers and community stakeholders
» capability to effectively administer or manage a wide array of tasks, projects, and responsibilities
» Must possess cultural sensitivity and knowledge for diverse communities – demonstrated capcapability and maturity in dealing with people and/or handing difficult situations
» Good command of English (both spoken and written)
» Good working knowledge of Microsoft Office Suite is essential
» Candidate who is bilingual in English and Mandarin is an added advantage (in order to contact with Mandarin speaking associates)
» Candidate with an art education / art history background will be an added advantage to support the area of content and programme development.
» Keen interest in the arts, heritage and museum field with a passion to engage with a wider community to visit the Gallery
» Proactive, people oriented, team player, cheerful, positive and committed
» Must be able to work weekends and some evenings to support the volunteer management portfolio
