Job Description » As an Executive / Senior Executive, you will be part of a dynamic team with allied health professionals and clinicians, to achieve the vision of helping to conduct and organize workshops and events by NUHS Centre for Health Professionals Training (CHPT). You are responsible for the following areas:
» Provide secretarial and administrative support to the initial conceptualization and implementation of all workshops and events organized by CHPT, such as liaising with stakeholders, publicity and logistics coordination
» Assist course organizers to plan the course proposals for approval by Centre Director, assist with the execution of the courses including registration and management of queries and feedback
» Assist as CHPT liaison with invited speakers and course trainers on the course details, speaker logistics and social arrangements where applicable
» Assist to provide clear financial accounting for respective courses, in areas such as course budget, breakeven analysis, billing and payments of participants, trainer’s expenses, and any course-related expenses
» Assist in the application for grant funding or subsidy, and submission of significant documents for respective claims (e.g. e2i, expertise Framework, VCF, etc.)
» Assist the Centre Director in preparation of work plans, monitoring of performances and preparation of reports for senior management update sessions
» Provide timely and regular progress updates to Centre Director including collation of data and preparation of slides
» Prepare end of course reports updates, including participants’ profiles, course financial report and analysis of course feedback on the learning points and recommendations to significant stakeholders
» To prepare Centre’s financial report for regular updates to Centre Director
» To assist in organizing and supporting the implementation of Asia Pacific Evidence-Bases Medicine and Nursing Workshop (annual conference) Job Requirements
» A good degree in any discipline with at least 2 years of working practices
» capability to commit part time work schedule of 3 working days per week
» capability to work in a fluid environment, amidst rapid changes and multiple demands
» Excellence in spoken and written English, including persuasive writing
» Proficiency in the use of MS Office (Word, PowerPoint, Excel)
» Highly organized with a keen eye for details
» Strong planning expertise and capability to anticipate needs
» Independent and capability to work with minimum supervision
