Perform a variety of administrative and general office management tasks independently, such as preparing and collating reports, notices, minutes, correspondence, documentation, requests-for-proposal, questionnaires and tenders.
Coordinate with team members to schedule meetings, conference calls, and maintain electronic calendars.
Pro-actively handle all incoming queries in a timely and accurate fashion, and liaise with internal departments to resolve tenants' feedback and requests.
Manage faxes, reports, and incoming mail, create and maintain updated file records, documents and drawings.
Coordinate with internal departments to obtain office equipment and supplies.
Coordinate travel arrangements and expense reports.
Create and update tenant emergency contact database.
Prepare and update mall operating expenditure, accrual and financial report.
Assist in coordinating the handing-over and taking-over of premises to and from tenants.
Renewal of annual licenses.
Reception duties to relieve receptionist when necessary, including handling of calls, attending to visitors, receiving and distributing mails and faxes, booking of rooms.
Provide support for any ad-hoc projects assigned from time to time
JOB REQUIREMENTS
Diploma in Business Management, Administration, or Secretarial qualifications.
Proficient in using Word, Excel, and PowerPoint software.
3 to 5 years relevant working experience.
